1. Information We Collect

We collect different types of information depending on how you interact with our Services:

A. Information You Provide to Us

• Contact information (name, email address, phone number)

• Business information (company name, role, event details)

• Payment information (processed securely by third-party processors — we do not store full card details)

• Content you create or upload in the App (event profiles, floor plans, schedules, checklists, labor records, notes, photos, and contact lists)

• Communications you send to us (emails, support requests, feedback)

• Photos and images you upload, and photos or QR codes you capture using your device camera

B. Information Collected Automatically

• Device information (device type, operating system, IP address, browser type)

• Usage data (how you interact with the Site and App, features used, time spent)

C. Information from Third Parties

• Information from our payment processors, subscription management provider, and infrastructure providers, as described in Section 14.

2. How We Use Your Information

We use the information we collect to: provide and maintain our Services (including the Onsite Xperts app); process bookings and payments for Content Boost and consulting services; improve the App and Site; communicate with you about your events, bookings, support requests, and updates; analyze usage trends; comply with legal obligations and enforce our Terms of Use; and detect and prevent fraud or misuse of our Services.

3. Onsite Xperts Mobile App — Specific Data Practices

When you use the Onsite Xperts app, we collect and process: event data you create (schedules, floor plans, checklists, run-of-show timelines); people and contact data you add (names, roles, emails, phone numbers, social media, notes for artists, vendors, crew, models, and attendees); labor and timesheet data (clock-in/out times, hours worked, assignments); budget and payment records you log; and device-stored data for offline functionality. The App uses your device camera to scan attendee QR codes at check-in and to capture event photos. QR scanning happens entirely on your device; scanned codes are matched against your own attendee list and are not transmitted to us.

All core app data is created and stored locally on your device, and the App is fully functional offline. If you create an account and sign in, images you upload (such as floor plans, logos, and photos) are stored on our servers so they can be restored to your devices. Event records, schedules, crew, and related content sync to the cloud only when you enable cloud backup, which is available with an Onsite Xperts Pro subscription. If you use the App as a guest without signing in, no event data leaves your device. We do not access your local event data unless you choose to share it with us for support. 

The App can send you reminders for schedule items and tasks. These notifications are generated and scheduled on your device. We do not operate a push notification server and do not collect a push token or device notification identifier.

4. AI-Powered Features

The App includes optional AI features, including AI Copilot and the AI Floor Plan Generator. When you use these features, the text you submit — along with relevant event context such as schedule items, checklist entries, or venue descriptions — is transmitted to our servers and then to Anthropic, PBC, our third-party AI provider, in order to generate a response. We do not send your attendee contact lists, photos, or payment records to the AI provider unless you personally include that information in a prompt. Anthropic processes this data solely to return a response and does not use it to train its models. AI features are optional. If you do not use them, no event content is sent for AI processing.

5. Subscription and Purchase Information

Onsite Xperts Pro subscriptions are sold exclusively through Apple In-App Purchase. We never receive or store your credit card number, billing address, or Apple ID credentials. We use RevenueCat, Inc. to manage subscriptions. RevenueCat receives your purchase history, an app-generated user identifier, and a device identifier in order to determine whether your subscription is active and to unlock Pro features. We use this data to provide subscription access and to understand aggregate subscription metrics such as conversion and churn. It is never used for advertising and is never shared with data brokers. The App's Payments section does not process payments. It stores links or QR codes you provide for your own payment providers, and opens them in your browser or that provider's app. We do not receive, process, or store any funds or payment credentials through this feature.

6. Information About Event Participants

The App allows you to store information about third parties, including attendees, vendors, crew members, artists, and other event participants. You are responsible for ensuring you have a lawful basis to collect and upload this information, and for providing any notices those individuals are entitled to under applicable law. We process this information solely on your behalf and at your direction, in order to provide the Services. We do not use event participant data for our own marketing and do not sell it.

7. How We Share Your Information

We do not sell your personal information. We may share information with the service providers listed in Section 14, who help us operate our business; with your consent or at your direction; to comply with legal requirements or protect our rights; or in connection with a business transfer.

8. Cookies and Tracking Technologies

Our website uses cookies and similar technologies to remember your preferences and to measure site traffic and performance. We do not use cookies for advertising or cross-site tracking, and we do not allow third parties to place advertising cookies on our site. You can control cookies through your browser settings.

9. Data Retention

We retain your information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your personal data at any time. 

10. Account Deletion

You may permanently delete your account at any time from within the App by opening Account and selecting Delete Account. Deleting your account permanently removes your account record, synced event data, and uploaded files from our servers. Data stored locally on your device is removed when you uninstall the App. You may also request deletion by emailing contact@333xperts.com.

11. Your Rights and Choices

You may have the right to access, correct, or request deletion of your personal information; object to or restrict certain processing; request a copy of your data; and opt out of marketing communications. Contact us at contact@333xperts.com to exercise these rights.

12. Children's Privacy

Our Services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13.

13. Data Security

We implement reasonable technical and organizational measures to protect your information. No method of transmission or storage is 100% secure.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The "Last Updated" date at the top will reflect any changes.

15. Third-Party Service Providers

We share limited information with the following providers, solely to operate the Services: Apple Inc. — payment processing for subscriptions RevenueCat, Inc. — subscription status and purchase history management Anthropic, PBC — AI processing for optional AI features Supabase, Inc. — authentication and cloud data storage Each processes data only as necessary to provide its service to us.
